POSITION DESCRIPTION

Position Title:
Database Specialist
Department: Development
Reports to: Development Manager

Status:
Full time exempt

Fulfill (formerly The FoodBank of Monmouth and Ocean Counties) is a nonprofit organization whose mission is to alleviate hunger and build food security in Monmouth and Ocean Counties. For the position of the Raiser’s Edge Database Specialist, an organized and experienced individual is needed to optimize the full functionality of the Blackbaud cloud-based fundraising software. The Raiser’s Edge Database Specialist will be a member of the Development team and be responsible for maximizing the effectiveness of the donor database through data management, research, queries, analysis, strategy, prospecting, and reporting. This position requires an individual who is organized, detail-oriented, efficient, and accurate; with strong communication and interpersonal skills. The ability to effectively collaborate with and support internal departments, board members and event committees are essential. This position requires a self-starter who has high energy, takes initiative, and welcomes a challenge.

Qualifications:
College degree: BA/BS in business, marketing, management, communications, or IT preferred
Advanced knowledge of and experience with Raiser’s Edge Donor/Fundraising software required Experience and proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), as well as in mail merges and import/exports required. Knowledge and experience with Tablau and Ceres is a plus
Proficient presentation and written communications skills
Preferred 2-3 years’ experience in donor relations, development, and gift processing
Valid driver’s license and reliable transportation are required for nights and weekend events, as needed

Knowledge:
In-depth knowledge and experience of data management, prospect management, analysis, reporting, and donor strategy/targeting utilizing Raiser’s Edge software to support donor and fundraising initiatives.
Strategic understanding of donor relations, giving levels, and solicitation plans

Skills/Competencies:
Strong written and verbal communications skills with robust project management and organizational skills. Demonstrated ability to network with and engage diverse audiences; incorporating current events knowledge of hunger-related initiatives. Must be able to represent Fulfill with professionalism when interacting with Fulfill stakeholders - including donors, clients, partner agencies, community, corporate, civic and governmental partners, media, and staff.

Donor and Fundraising Initiatives:

The Raiser’s Edge (RE) Database Specialist will be the donor database “power user” and in-house expert with a special emphasis on extracting data, database integrity, and accurately maintaining constituent records.
Interfaces with Blackbaud for all maintenance, version upgrades, and new functionality
Implements global clean-up of existing database
Demonstrates proficiency in queries, data imports/exports, and mail merges
Supports Development team and Executive team with strategic queries, invitation lists, and mailing lists
Provides accurate database information and mailing lists for direct marketing campaign’s mailing list
Works with direct marketing vendor to collect and extract data
Produces reports and utilizes benchmarking
This position will be responsible for identifying key information requirements and managing standards for constituent records
Responsible for updating constituent records and global changes on an on-going basis to ensure accurate information
Establishes a process to ensure the integrity of database
Identifies duplicate records and consolidates as appropriate
Eliminates incomplete and erroneous data
Develops and catalogues all acknowledgement letters customized to mailing, event, donor, author, etc.
Creates and implements up-to-date Standard Operating Procedures for entry and reporting for all Raiser’s Edge users
Conducts training for all Raiser’s Edge users
Creates standardized contact report
Enters, updates, and tracks contact report information
The RE Database Specialist will be responsible for supporting an on-going donor retention and prospect management plan that includes, but is not limited to, the following:
Research: Key information about each donor/prospect with giving history, priority causes, educational institutions, board involvement, real estate, employment, etc.
Categorization: Taking the key research findings to assign designated “ratings” for a donor/prospect based on the capacity to give, inclination to give, strength of affinity, legacy, relationship with Fulfill, readiness to give, and predicted level of giving.
Project Plan: Building a calendar utilizing prospect tracking tool
Conducts special research/analysis projects as requested
Prepares briefing reports for leadership
Continually learns best practices for using the Raiser’s Edge software and periodically updates team members on new procedures to efficiently and accurately accomplish tasks in the donor database to support Fulfill’s fundraising goals.
Ensures precise data entry through general information checks and surveys of user surveys, records, and fields
Integrates Raiser’s Edge Database with other systems/data
Implements processes for extracting data from the Volunteer Software – Volgistics
Optimize information already collected
Designate targeted programs with information
Augments synergies and interfaces with new versions of Ceres
Ensure accuracy of data
Reduce redundancy in reporting/tracking
Leverages network and tools provided by Feeding America through on-line resources, training, and conferences

Miscellaneous:
Provides back-up support to Development staff and other departments as needed
Participates in evening and weekend speaking opportunities and events, as needed
Performs other assignments as required
Adheres to and promotes all policies and procedures; and communicates such to volunteers/interns as needed and required
Builds relationships across multiple business teams, and works with executive team on database updates
Demonstrates good judgment and discretion

ADDITIONAL REQUIREMENTS:
Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, see, write, count, read, speak, analyze, alphabetize, lift and carry under 50 lbs., perceive depth, operate a motor vehicle.
Conditions may include working outside, working in inclement weather, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
Equipment (machines, tools, devices) used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, telephone, camera, and automobile.
