Were OperationsInc, a Human Resources Outsourcing and Consulting firm based in Norwalk, CT. Since 2001, OperationsInc has been supporting a base of over 1,000 clients with their diverse and evolving HR needs.
Our client, a leading international supplier of innovative building solutions founded in 1962, is looking for an Office Administrator to join their team in Princeton, NJ. The Assistant reports to the Head of Sales and Marketing of the Americas and his two Regional Sales Managers. The successful individual will manage the day:to:day in the office and support small team in the following functions.
Essential Duties and Responsibilities:
Providing a support function in a busy office environment and which may include, but not limited to:
Office administrative
:Entering and updating data in SAP (invoices, cost centers, etc.)
:Sort incoming mail and courier deliveries for distribution.
:Prepare and send mail, and courier parcels.
:Purchase, receive and store office supplies ensuring that basic supplies are always available and equipment is operational.
:Provide secretarial and administrative support to management and other staff.
:Make travel, meeting and other arrangements for staff.
Assist with financial management
:Code and file financial material according to standard operating procedures.
:Process accounts payable ensuring timeliness and accuracy of information.
:Ensure receipt of account receivables and present status of outstanding accounts.
:Assist with financial reports as required.
:Month end duties as required.

Provide Board support
:With the management, prepare meeting agendas and supporting material for distribution.
:Ensure the timely distribution of material to management.
:Draft minutes of management meetings.
:Create action list for management staff from meetings.
:Assist inside sales department i.e. data entry, quote processing, and delivery coordination.

:Build Relationships: Establish and maintain positive working relationships with others both internally and externally to achieve the goals of the organization.

Required Skills:
:Relevant college degree is preferable.
:Preferable work experience in construction industry
:Proficiency in the MS Office (Word, Excel is required and PowerPoint is a plus), Outlook, as well as ability to utilize SAP database for logging invoices in appropriate cost center.
:Excellent time management skills and ability to multi:task and prioritize work.
:Fluent in English a must; fluency in French and/or German is preferable.
:Strong organizational and planning skills.
:Communicate Effectively: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
:Plan: Determine strategies to move the organization forward, set goals, create and implement actions plans, and evaluate the process and results.
:Solve Problems: Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.
:Efficient use of
technology/software, contributing to the improvement of these tools on a constant basis.
:Experience in dealing with internal and external customers of all backgrounds and knowledge levels.
